How To Use The Copier-Scanner

This document contains detailed instructions on how to use the Canon digital copier in the CSB copy room as a scanner.

First log onto the computer using the login copyroom and the password scanner. When windows boots up a DOS screen will appear prompting you for the server that your home directory resides on. This is so that you can mount your home directory and save scans there. Input the server name (magnum, for instance), hit enter, then input your user name and hit enter, then your password and hit enter. It should say it is successful and to hit any key. Once you hit any key, it will load up this HOWTO and your network folder and then the DOS window will disappear.

Step 1:

Log onto the copier using your code. Press the “SCAN” button on the copier console. Press the “online” button on the LCD screen on the copier. Place your documents face up on the feeder on top of the copier (if you are doing two sided scans, whichever side is the first side should go face up).

Step 2:

On the computer, load up DocScan Pro by double clicking on the icon on the desktop. Click on the menu File, then Scan New Document.

In the “Scan into folder” leave either z:\ or put a sub directory after z:\ (i.e. z:\scanned).
DO NOT SCAN TO THE C:\ DRIVE!!!!
Z:\ IS YOUR NETWORK DRIVE, C:\ CAN BE ACCESSED BY ANYONE!!!!

Enter a title for the document (the file name it should be saved as). If there are several pages to scan, depending on the file format it will save it as title01, title02, etc…
Next click on the “Scan Options” Tab. For File Type, there are a few options:

  1. TIF is good for everyday black and white single or multiple paged documents that you want to scan for whatever reasons. It is nice and compact and easy to transport.
  2. JPG is usually for color documents, and since the copier is NOT COLOR then jpg is usually not the best bet. It also adds grey to scanned pictures for some reason. 3. PDF is good for scanning resumes or other multiple paged text documents that you want to save into one file but keep the multiple page aspect.

Select whichever option you decide is needed.
Next in the Automatic Document Feed Options you have two options:

  1. Accumulate all pages into a single document: This is good for PDF, it will separate the pages but make it into one file so you don’t have a separate file for each page.
  2. Save each page as a separate document: this is good if you have a lot of separate single paged documents that should be saved separately

Select your option as you need.
Next, make sure the Use scanner’s Dialog is NOT checked. For Image, select either black and white for text based and grey-scale for image based documents.
The resolution is at 200 which is pretty standard. If you need to, increase or decrease it.
Auto Detect for page size is the easiest option. If you have double sided documents, check Enable duplex scanning.
Next click the Scan button

It should come up with a window saying scanning page x percent y. After it is done scanning what is in the feeder, it will say that all the documents are scanned, click OK to scan more or cancel. Click cancel so that you can view the scanned documents.
In this example I scanned a double paged paper to a single TIF file. Here you can select which page to view.
You will not get a preview view if you scan to a PDF

oom at the top, or a different file on the left hand side of the screen.
You can OCR the document (convert it into actual text) by going to the menu Edit, OCR the current document. This will convert it into actual text and allow you to paste it into a word document. OCR isn’t a perfect science, so if it makes mistakes don’t get mad.
You can now go to the File menu, and select to scan a new document, add more scanned pages to this file, or exit.
Once you are done, please exit out of DocScan PRO and close any windows and Log OFF!!!! It is very important that you log off so that no one can access your files. The computer will automatically log you off after 10 minutes of inactivity, but log yourself off to be safe.

Next you should turn the copier’s scanner mode to offline, press the copy mode button and then ID to log off.
